Admin Assistant

Ipswich town Centre

£16,500 - £18,500 based on experience

Permanent, 8.30am - 5pm

To assist in the day to day running of the project management database and project resourcing through the system and to provide administrative assistance on behalf of clients and colleagues.

Your Accountabilities
  • Producing client fee documentation and manages the process from enquiry through to contract
  • Raising client orders for budget holder approval in accordance with payment terms and conditions
  • Assisting with compiling accurate reports to provide information and research as required
  • Ensuring all financial processes are completed to agreed timescales
  • Responsible for setting up and maintaining business management database daily, ensuring accuracy and information is entered to agreed timescales
  • Raising invoices to clients and deals with purchase orders
  • Resolving invoice queries with clients
  • Running periodic reports and assist with analysing project financials (current and budget) from initiation through to completion
  • Maintaining client data
  • Assisting with database analysis and resolve abnormalities
  • Monitoring processes to ensure KPIs are met and assist with KPI reporting
  • Producing fee proposal packs for clients
  • Supporting with PIMS resourcing, entering project resources and reallocating as appropriate
  • Answering internal and external queries in a professional and timely manner
  • Working closely with the Business team to ensure a high level of accuracy and organisation is achieved
  • Assisting and support the Business Manager and provide support to all colleagues
  • Building good relationships with colleagues and clients
  • Updating project data in business systems
  • Able to effectively manage own time, workload and resources
  • Strong attention to detail and a high level of organisation
  • To carry out effective communication with all stakeholders
  • Sensitivity when dealing with confidential information
